Introducing ClinicLink Conversations: Patient Enquiry Management Software for clinics
A patient emails your clinic about a consultation. Later, they follow up on WhatsApp. Another enquiry arrives through Instagram, while your reception team is already juggling appointments, phone calls and several inboxes.
Sound familiar?
Working closely with our clinic partners has taught us something important: the biggest challenges aren't always the ones you anticipate when building software. They're the ones you discover by listening to the people using it every day.
Through our ongoing collaboration with clinics, we've seen firsthand how managing patient enquiries across multiple channels creates unnecessary complexity, consumes valuable time and makes it harder for teams to stay on top of every conversation.
Rather than guessing what clinics need, we believe in building solutions around real challenges, shaped by real experiences and feedback from the people on the front line.
That's why we're introducing ClinicLink Conversations, our new patient enquiry management software designed to bring your clinic's communications together, simplify daily workflows and help your team manage every enquiry from the first message to a confirmed patient.
What is ClinicLink Conversations?
ClinicLink Conversations is a new addition to the ClinicLink platform that gives your team one central place to manage patient enquiries.
It brings together communications from the channels patients already use, including:
Email (Outlook/Microsoft 365 & Gmail)
WhatsApp Business
Instagram direct messages
Website contact forms
CLAI hand-offs when a patient needs human assistance
ClinicLink chats are also accessible through the platform.
Instead of constantly switching between different applications, your team can access patient conversations, review communication history, assign responsibilities and manage follow-ups from one organised workspace.
And because Conversations is built into the existing ClinicLink Admin Portal, there's no separate system for your team to learn or log into.

More than a shared inbox: A clinic CRM approach to patient enquiries
A shared inbox is useful, but simply collecting messages in one place doesn't solve every problem.
Clinics also need to know who has contacted them, what they're interested in, whether someone has responded and what needs to happen next.
This is where ClinicLink Conversations brings clinic CRM-style functionality into everyday patient communication.
Every enquiry is linked to a contact, with previous conversations and relevant information available together. Your team can follow each person's progress through different stages, from a new enquiry to an established patient.
For example, when someone contacts your clinic about a consultation, staff can track the conversation, send the necessary information, follow up and eventually connect that person to their patient record.
Rather than managing enquiries through spreadsheets, separate messages or staff reminders, everything follows a clear process.
The result is a more organised patient journey, without introducing another full practice management system.

Less administrative work, more time for patients
One of the biggest challenges for busy clinics isn't necessarily the number of enquiries they receive. It's the amount of work involved in managing them.
Who should respond? Has someone already replied? Is a patient waiting for an update? Has the enquiry been passed to the right person?
ClinicLink Conversations is designed to make these everyday questions easier to answer.
Enquiries can be automatically assigned to the appropriate team member, while staff can also take ownership manually. Everyone with the right access can see the status of a conversation, what needs attention and who is responsible.
The platform also supports internal notes, follow-up tasks, reusable message templates and alerts for enquiries that have been waiting too long.
This reduces the need to chase colleagues, search through inboxes or repeatedly enter the same information.
For clinic managers, it means greater visibility. For reception and administrative teams, it means less repetitive work. And for patients, it creates a more consistent experience.
Connected to Semble, not replacing it
Many clinics already rely on practice management systems such as Semble to manage appointments, patient records and everyday operations.
ClinicLink Conversations is designed to work alongside those systems, rather than replace them.
With Semble integration, clinics can connect patient enquiries to existing records, send questionnaires directly from a conversation, update patient statuses and save communication histories to the appropriate patient record.
When a new enquiry becomes a patient, staff can also create or link their ClinicLink Patient Portal account as part of the same guided process.
This helps reduce duplicated administrative work and keeps communication connected to the systems your team already uses.
Semble is the first supported EHR integration, with additional systems planned based on demand.

When AI and human communication work together
ClinicLink Conversations can also work alongside CLAI, ClinicLink's AI assistant for patient engagement.
CLAI helps answer routine questions around the clock using information provided and verified by your clinic.
But not every enquiry should be handled by AI.
When someone needs assistance from a member of staff, CLAI can pass the conversation directly into ClinicLink Conversations, including the previous messages and context.
Your team can pick up where the AI left off, without asking the patient to explain everything again.
CLAI can also assist with drafting responses for staff to review and send, helping reduce the time spent writing repetitive replies.
Importantly, CLAI is optional. Clinics can use Conversations independently or combine both products to create a more connected approach to patient communication.
Understand what's happening across your clinic
Better patient communication isn't just about responding to messages. It's also about understanding how well your team is managing them.
ClinicLink Conversations includes reporting that helps clinic managers monitor:
Response times across different channels
Enquiries waiting for a reply
Workload across team members
Where new patient enquiries originate
How many enquiries progress to patients
This gives clinics a clearer view of their patient communication processes and helps identify areas where improvements could make a difference.
With UK-hosted data, encrypted communications and configurable team permissions, the platform is also designed around the privacy and operational requirements of healthcare organisations.

A new way to manage patient communication
ClinicLink Conversations isn't intended to replace the people who make your clinic run.
It's designed to give them better tools.
By bringing patient enquiries, communication history, team responsibilities and CRM-style workflows into one place, clinics can spend less time organising messages and more time helping the people behind them.
Less chasing. Fewer missed enquiries. More time for patients.
ClinicLink Conversations: Early access for the first 15 clinics
We're opening ClinicLink Conversations to the first 15 clinics, with the initial launch scheduled for 2 November 2026.
Participating clinics will receive hands-on onboarding from our team to help them get started and introduce Conversations into their existing workflows.
If your clinic is looking for a more efficient way to manage patient enquiries, improve communication and reduce administrative workload, we'd love to show you what Conversations can do.
